On the sign-in screen, enter your email address and tap Forgot Password?. We will email you a link to set a new one. The link expires after a short time, so if it has been a while, request a fresh one and use the newest email.
Open Settings and tap View Plans. Scroll to the bottom of the plan screen and tap Restore Purchases. This re-checks your subscription with Apple. Make sure you are signed in with the same Apple Account you used to buy the plan. If it still does not unlock, contact us and we will sort it out. Only your kitchen's billing Manager sees the Subscription section in Settings. If you are not that person, ask your manager to check the plan.
Subscriptions are billed by Apple, so they are cancelled through Apple, not through us. On your iPhone open the Settings app, tap your name at the top, tap Subscriptions, choose ChefsRecords, then tap Cancel Subscription. You keep access until the end of the period you have already paid for.
Open Settings, tap My profile, then scroll to the bottom and tap Delete Account. This permanently deletes your sign-in and your place on the team. It cannot be undone. The records you made stay with the kitchen, because they are the kitchen's records. If you are the kitchen's billing Manager and nobody else is left, the kitchen and all its records are deleted with your account. The screen tells you which will happen before anything is deleted. To keep a copy of the records first, a Manager can use Settings > Export records.
Deleting your account does not cancel your subscription. Cancel that separately in the Apple Settings app, as described above.
Managers sign in with their email and password. Supervisors and Staff sign in with their PIN, on the kitchen's shared device or on their own phone once it is linked. Two things usually explain it:
Temperature timer alerts are marked Time Sensitive, so they break through most Focus modes and Do Not Disturb. If one does not arrive, work through these:
Two things can still hold an alert back. Sleep Focus is stricter than other Focus modes - if you rely on overnight reminders, add ChefsRecords under Settings > Focus > Sleep > Apps and allow its Time Sensitive alerts. And the physical silent switch on the side of the phone: no app can override it, so a phone set to silent will buzz rather than ring.
Yes, on a phone. Temperatures, checklist ticks and new incidents are saved on the phone, encrypted, and sync by themselves when you are back in range. A grey line at the top of the Dashboard counts what is waiting. Until it syncs, a record is only on that phone, so a report printed on another device will not include it yet. Photos need a signal. Anything else - signing off a checklist, editing a staff record - needs a connection, and the app says "No signal" rather than failing quietly. A web browser cannot save without a connection.
A Manager can open Settings and tap Export records. It saves the kitchen's records as one spreadsheet (.xlsx) that opens in Excel, Numbers or Google Sheets. It is on every plan, including the Trial. The file is not encrypted, so keep it somewhere safe and delete it when you no longer need it. There is nothing to restore: your records are already stored in the cloud, and the app cannot import a file.

Yes. Your records are stored in the cloud and sync to any device you sign in on. Two exceptions: the Bin is kept on your device only, so restore or permanently delete anything waiting there before you switch. And anything saved with no signal that has not yet synced is only on that phone, so let the grey line at the top of the Dashboard clear first.

It records temperature checks, incidents, staff records, suppliers, stock expiry, and recurring checklists, and produces PDF reports - led by an Inspection Pack - you can show at an Environmental Health visit.
ChefsRecords is a record-keeping tool. It does not replace your legal food safety management system, and the staff compliance score is guidance only, not a decision about a person. Any HR action should follow your own process and the ACAS Code of Practice.
