Delete your ChefsRecords account

This page is for ChefsRecords, the food safety records app for UK kitchens, published on Google Play by ChefsRecords. It explains how to delete your account, with or without the app, and what is deleted and what is kept.

Delete your account in the app

Open Settings > My profile and tap Delete Account. Before anything is deleted, the screen tells you exactly what will happen to your account and your records.

Ask us to delete your account without the app

Send us a message with our contact form and write "Delete my account". Tell us:

  • if you sign in with an email: that email address
  • if you sign in with a PIN: your name as it appears on the team list, and the name of your kitchen
  • choose "Yes" for "Would you like a reply?" so we can check it is you

We will contact you to check the account is yours before we delete anything, and we will complete your request within one month. Please do not put other people's details or sensitive information in the form.

Before you delete

  • Deleting your account does not cancel a subscription. On Android, open the Google Play Store app, tap your profile picture, then Payments and subscriptions > Subscriptions > ChefsRecords > Cancel subscription, or open Google Play subscriptions in a browser. On iPhone, open Settings, tap your name, then Subscriptions.
  • To keep a copy of the kitchen's records, a Manager can save them first with Settings > Export records.
  • If you are the kitchen's billing Manager and your team is staying, the delete screen asks which of the kitchen's other Managers takes over the billing. If there is no other Manager, add one first in Settings > Team.

What is deleted

Every account: your sign-in (email and password, or PIN), your settings and your place on the team list are deleted - straight away in the app, or within one month of a request through our form.

If you are the kitchen's billing Manager and nobody else is left in it: the kitchen and all its records are deleted with your account - temperature records, checklists, incidents, staff and supplier records, stock and settings. Its photos and signatures are removed within 30 days.

What is kept, and for how long

  • If your kitchen carries on, the records you made stay with it, with your name on them, and so does anything the kitchen keeps about you, such as training or right to work records. They are the kitchen's compliance records and the kitchen decides how long to keep them - ask the kitchen about them.
  • Change history (audit log): kept for up to 24 months. It can include your name and what was changed, but free text such as notes is removed.
  • Crash and performance reports: kept for up to 90 days, with no names or email addresses.
  • Purchase records: Google Play and Apple keep their own records of your purchases. Our subscription provider, RevenueCat, keeps the purchase history for your account's user ID - not your name or email - so that billing and tax records stay correct.
  • Files you exported are wherever you saved them. We cannot see or delete them.
